How to prepare an office for work during power outages.

An office needs a clear power plan during an outage: which devices run constantly, what to connect in turns, and who is responsible for the startup. When a company prepares to buy a generator for work tasks, they first calculate the load, installation location, fuel supply, and safe cable routing. Such a calculation immediately shows which appliances can be kept on permanently and which should be switched on sequentially.
Which equipment should receive power first
The first to be connected is the equipment without which work stops immediately. This includes the router, switch, server, laptops of key employees, accounting system, cash register, security, and aisle lighting. Printers, coffee machines, heaters, and charging stations are not placed on the same line as critical equipment because they have high starting currents. Before startup, a short list of priorities is compiled:
- router, ONU, and network equipment;
- server, NAS, or workstation with a database;
- laptops and monitors for employees on shift;
- cash register, payment terminal, and scanner;
- emergency lighting at the entrance and on the stairs;
- phone charging for communication;
- ventilation of the room where the equipment is located.
This order helps avoid overloading the generator in the first few minutes. The team immediately understands what to turn on now and what to leave until the grid is restored.
Power is calculated based on device data sheets. A reserve is added to the total because power supplies, pumps, and compressors briefly consume more energy during startup. If the office uses a UPS, it is connected so that it does not switch between the grid and the backup every few minutes.
For business operations, not only power but also process predictability is important. In the office, a responsible person is appointed in advance, extension cords are labeled, instructions are kept near the exit, and a short test run is conducted. Then, during an outage, employees do not argue at the electrical panel or try to figure out the scheme by touch.
What to check before starting the generator
Before starting, the equipment is placed outdoors or in a separate area with exhaust venting. A gasoline generator must not be kept in an office, corridor, basement, or on a closed balcony. Exhaust must be directed away from windows, doors, and ventilation grilles; otherwise, carbon monoxide will get inside.
Check the oil, fuel, air filter, grounding, and an extension cord of the required cross-section. Do not run the cable through puddles, walkways, or around sharp corners. If operation is required for several hours in a row, keep a fire extinguisher, a spare canister, gloves, and a logbook nearby to record startup time, refueling, and shutdown.
A simple scheme helps the office: who starts the engine, who connects the load, and who monitors the fuel. One person should not be working with documents, clients, and the generator at the same time.
After stopping, allow the engine to cool down, then remove the cables, close the canister, and record the remaining fuel. For an office setup, it is worth checking generator parameters on comfy.ua before the final load calculation.
